Title: Data Entry

To manage the program information system and databases for eligible children and sponsors; ensure accurate, complete, secure records and documentation; and produce reports and analysis that support decisions and payment

integrity.

المسؤوليات الرئيسية:

  • - Manage and update the program information system and databases for children, sponsors, sponsorships, and visits.
  • - Review and validate data and coordinate correction of missing, inconsistent, or duplicate records.
  • - Monitor the completeness and timely update of child files, documents, and photographs.
  • - Prepare periodic operational, statistical, sponsor, and donor reports within approved deadlines.
  • - Analyze data and produce KPIs, dashboards, observations, and recommendations for management.
  • - Reconcile system data with supporting and financial records and document and follow up discrepancies.
  • - Extract and review eligibility and payment lists with the Program Finance Officer before approval.
  • - Monitor visits, alerts, and suspended or resumed cases and ensure approved updates are recorded.
  • - Maintain secure electronic archives, version control, backups, and efficient record retrieval.
  • - Improve data-collection tools, procedures, and automation of recurring reports.
  • - Provide user support and training and monitor compliance with data-entry standards.
  • - Comply with child safeguarding, confidentiality, and access controls and report suspected breaches immediately.
  • - Perform other duties directly related to the position as assigned by the line manager.

المتطلبات:

  • - Bachelor’s degree in Information Management, MIS, Statistics, Computer Science, Business Administration, or a related field.
  • - At least two years in data management, reporting, or program information systems, preferably in humanitarian work.
  • - Database Management: Maintain accurate, complete, and current records.
  • - Data Entry and Validation: Identify and follow up errors, duplicates, and discrepancies.
  • - Data Analysis: Generate indicators, trends, and concise findings.
  • - Reporting: Prepare professional operational and statistical reports in Arabic and English.
  • - KPIs and Dashboards: Develop concise indicators and dashboards for decision-making.
  • - Microsoft Excel: Advanced skills in functions, PivotTables, and data cleaning.
  • - Document Management and Archiving: Organize files, control versions, and ensure secure retrieval.
  • - Accuracy and Attention to Detail: Verify consistency and source documentation.
  • - Coordination and Follow-up: Obtain complete and timely data and documentation.
  • - Problem-Solving and Process Improvement: Recommend practical quality and efficiency improvements.
  • - Data Confidentiality and Security: Protect child and sponsor data and follow access controls.
  • - Time Management: Prioritize tasks and meet reporting deadlines.
  • - Language: Fluent in both written and spoken Arabic, Very good proficiency in written, spoken, and reading English.
  • - Photo Editing: Good knowledge of Adobe Photoshop or equivalent for report images without altering authenticity.
  • - Report Formatting: Proficiency in Microsoft Word and professional formatting of text, tables, and images.
